Why we’ll ask many questions before quotation

Every day, we receive many inquiries on different platforms. Except for a very few clients who provide complete product requirements, product drawings, material specifications, quantity, usage, etc., most clients only have a basic concept, some cannot even provide the most basic idea, and some requests do not match our products at all…

For users who provide complete product requirements, we can quickly give corresponding quotations for reference based on the information provided. At the same time, we also evaluate the cycle for prototyping and mass production. Generally, clients who provide very detailed requirements may be competitors comparing prices, or it may be that the clients themselves are very knowledgeable about the products. Of course, in either case, we welcome them. We often help industry peers process those shaped foam inserts that they cannot manufacture. We believe there is no foam insert we cannot make; if we cannot process it, nearby factories certainly cannot either. For knowledgeable clients, much communication time is saved, and the project can move forward faster.

For products unrelated to our offerings but still related to foam inserts, we will understand the customers’ specific needs and usage and then recommend them to find the appropriate manufacturers. For example, in terms of material, there are types like EPE or sponge… In terms of processing methods, there are die-cutting, wire-cutting, mold-based, etc. This way, customers can more accurately find the corresponding suppliers.

For many clients who only have a basic concept or an unclear concept, we may ask many different questions based on the information we have. Some clients may not want to provide more product details for confidentiality reasons. In such cases, we can only provide reference quotations based on the available information. If adjustments to the inserts are needed later, and these adjustments affect processing time and consequently costs, the quotation must also be adjusted accordingly. This is why accurate quotations require more detailed information. At a minimum, clients concerned about product information leakage should know that we are merely a manufacturer and processor of foam inserts, so clients do not need to provide us with drawings of the products to be protected by the inserts; they only need to provide the insert drawings. If the client does not have insert drawings and requires our help to draft them, they only need to provide the exterior drawing of the product; the internal details can be completely deleted. Moreover, the drawings we receive will only be used for our production layout, programming, and final inspection, so the information is strictly internal and will not be shared or shown to third parties, so there is no need to worry about confidentiality issues.

So, returning to the initial question, why do we ask so many questions before providing a quotation? Because only by understanding the client’s real needs can we provide quotations more quickly and accurately. Although it may seem like time-consuming communication, it actually ensures smoother and faster project progress and better product production.
